Many businesses have significant operating costs associated with financial document distribution. Printing and posting statements, remittance advice and invoices are not only expensive but slow and cumbersome. Prodocom’s Statement and Invoice delivery system dramatically reduces the time and cost involved in distributing your critical financial documents. By taking your existing data output and custom building templates that enable transmission by email, fax, or traditional post, Prodocom allows you to immediately, and without any infrastructure investment, enjoy the benefits of faster document delivery and reductions of up to 80% in delivery costs.

There are many benefits to using Prodocom to deliver your vital business documents:

  • Document delivery process takes minutes instead of days, shortening your credit cycle dramatically.
  • FAX, Email, SMS and Post are provided through a single platform simplifying delivery reporting.
  • No capital outlay and reduced delivery costs.
  • Automatic re-routing of failed deliveries to an alternative medium enhances delivery success and subsequent payments.
  • The custom built nature of the Prodocom service ensures documents are delivered via the preferred medium, with a look that can be tailored to suit requirements.
  • Allows gradual migration from Print to Electronic delivery at a pace that suits the recipient base.
  • The customisation of each document ensures clients receive documents in the format that makes it easiest for them to action, reducing the time it takes for payment to be received.
How does it all work?

The engine that drives the service is the Prodocom Messaging Platform. Developed and operational since 1997 the Prodocom Messaging Platform receives variable client data and transforms it to FAX, Email, or Printed documents.

The Prodocom Message Platform can receive the initial data in a variety of manners including FTP HTTP Post email etc. On receipt of the data, the Prodocom Message Platform applies a Pre-Processor that converts the data into a document that can then be delivered by the required medium. Documents to be delivered via fax and email are delivered by the Prodocom Message Server. Documents to be mailed are formatted by the Prodocom Message Server and then printed and lodged directly with Australia Post. Alternatively documents to be posted can be routed back to the client for printing.

A set of business rules applied to each account dictates how "failed" messages are handled. For example a failed email can be retried via fax, or post.

Delivery progress and status can be reported in a variety of manners including email, via a web interface, or data fed directly back to the client platform.

Statement and Invoice Distribution

Setting up the Prodocom Service

The process begins with a review of current distribution processes and an evaluation of the costs involved. A strategy to assist in the migration of posted documents to electronic delivery and a target conversion is decided. From this information the monthly savings can be estimated.

The format and look of the Fax, Email and Posted documents are decided upon. Prodocom then analyze the existing data output in order to build the Pre-Processors that will transform the data to formats ready to be faxed, emailed, or passed to our mailing houses for printing and lodgment.

On completion of the Pre-Processors, the system is ready for use. After some initial in-house trials of the various document formats, you simply lodge the existing data via the agreed transmission method i.e. Email, RIP, FTP etc and the Prodocom Messaging Platform takes care of the rest. Progress and delivery status reports are provided via the agreed method.
